This 2-hour training aims to help administrators streamline the documents to appropriate team members in a timely manner. Additionally, a large number of documents are being sent electronically to the workflow emails of the practices so admin teams need to be able to interrogate these with a degree of confidence.
GP surgeries regularly receive 10s of documents daily with the larger surgeries receiving 100 or more on a daily basis. These include letters from hospitals, results of investigations or correspondence from other agencies. In most practices, GPs spend several hours a day reading these documents and taking appropriate action. This forms a bulk administration time that is spent away from frontline patient care. Often majority of the documents do have clinical information and needs a clinician to interpret and action. However, evidence shows with appropriate training and good practice 30-40% of the documents that could be read and coded by the reception team. Colleagues from Bromley by Bow Partnership will be leading on the training on how this can be achieved building on processes

Learning outcomes
- Understand the document workflow in GP practices, including common types of correspondence received and their appropriate routes for action.
- Confidently interrogate electronic documents received via workflow emails, identifying key information required for timely processing.
- Differentiate between administrative and clinical documents, recognising which items require clinician review and which can be safely managed by the reception or admin team.
- Apply agreed protocols to read, code, and allocate appropriate documents, reducing unnecessary escalation to clinicians.
- Demonstrate safe decision-making when handling patient correspondence, ensuring accuracy, confidentiality, and compliance with practice policies.
- Contribute to reducing clinician administrative workload, enabling more time for frontline patient care by effectively managing suitable documents.
